Separate the workflows

An employee directory, an onboarding checklist and a payroll calculation solve different problems. List what the company needs before requesting a demo. Include the person responsible for approving changes and the system that is authoritative for each field.

BambooHR describes centralized employee records. Gusto presents HR tools alongside its wider payroll offering. These official descriptions support a shortlist, not a conclusion about coverage in a particular country or a claim that either product meets your obligations.

Test access from several roles

Create synthetic administrator, manager and employee accounts. Try to view, edit and export records from each one. The objective is to verify the boundary, not merely whether the administrator can do everything. Ask how access is removed when a person leaves or changes role.

The NIST small-business resources are useful background for assigning security responsibilities. Do not use a vendor’s general security page as a substitute for testing the permissions available in your chosen plan.

Confirm the handoffs around payroll

Document when changes must be approved, who handles corrections and what happens if a submission fails. Ask the provider which activities it performs and which remain the employer’s responsibility. Obtain location-specific advice for legal, employment and tax questions rather than inferring coverage from an international product website.

For a fictional small business, an employee changing bank details is a useful evaluation scenario. The test should reveal who can make the change, whether it requires approval and how it appears in the activity record. Use dummy details, not an actual employee account.

Plan record ownership and exit

Identify which records must remain available after cancellation and who controls that archive. Confirm whether exports include documents and historical changes as well as a directory. An exportable list of employees may not satisfy the company’s broader recordkeeping needs.

Compare total administration effort with the SaaS pricing method. If the problem is a confusing onboarding process, map the handoffs first. Then run a bounded trial against the written requirements before entering a longer contract.
